Access Control

Choose who in your organization can use the AI Agent, and cap monthly spend.


Access to the AI Agent is controlled from Settings > AI > General, under Access.

Access modes

  • All members — every member of the organization can open the AI Agent panel and use it.
  • Specific users — only members you explicitly grant access to can use it. Everyone else sees the panel locked.

Organization owners and admins always have access, in either mode. This is intentional: since they’re the ones who manage this setting, a bypass prevents accidentally locking everyone (including yourselves) out by switching to Specific users before granting anyone access.

Managing individual access

When Access is set to Specific users, manage who’s granted access from Settings > Users — a dedicated AI Access column appears with a toggle per member. Owners and admins show Always here instead of a toggle, since they bypass this check.

The toggle only does something in this state. If access is set to All members, the column still shows (so you can see who would be individually managed) but every toggle is switched on and disabled — access isn’t decided per user in that mode. If the AI Assistant isn’t enabled at all, every toggle shows off and disabled, since nobody has access regardless of grants.

Monthly spend cap

Set a Monthly spend cap (USD) on the General tab to stop new AI calls once the organization’s estimated spend for the current calendar month reaches that amount. In-progress conversations aren’t interrupted, but new messages will be rejected until the next month starts (or you raise the cap). Leave it blank for no cap.

Current usage against the cap is visible on the Statistics tab.
